Your Mission
• Keep financial records accurate and up-to-date
• Ensure invoices, reports, and reconciliations are completed on time
• Maintain organized, conflict-free calendars
• Coordinate travel, schedules, and key activities proactively
• Manage recurring tasks, reminders, and follow-ups
• Improve systems and introduce efficiencies (including AI tools)
Core Responsibilities
• Financial tracking, reporting, AP/AR support
• QuickBooks or similar accounting system use
• Invoice tracking, reconciliation, and coordination with accountant
• Calendar & schedule management (business + personal)
• Travel planning and itinerary creation
• Vendor coordination and follow-ups
• Process documentation (SOPs, trackers, dashboards)
• General admin + personal support tasks
What We’re Looking For
• 2+ years experience in finance/admin/operations
• Strong QuickBooks or accounting system knowledge
• Advanced Excel / Google Sheets skills
• Highly organized with strong attention to detail
• Proactive and solutions-oriented mindset
• Comfortable handling both business and personal tasks
• Strong written & spoken English
• Familiar with AI tools (ChatGPT, automation tools)

• Laptop/desktop (less than 3 years old)
• CPU: Intel i5 10th-gen+ / AMD Ryzen 5+
• RAM: 8GB+
• Internet: 50 100 Mbps (with backup)
• A/V: Working webcam, mic, and headset
