Salary Range: $70,000 - $80,000 per annum

Position Summary
The Administration Assistant / Receptionist provides a high standard of administrative and customer service support to ensure the efficient and effective daily operations of the Administration Department and Reception Unit at Yura Yungi Medical Service Aboriginal Corporation (YYMS).

Key Responsibilities
Reception & Client Support
• Welcome and assist clients and visitors’ enquiries and appointments (in person and via telephone)
• Maintain confidentiality of all organisational and client information.
• Ensure the reception area is clean, well-maintained and professionally presented at all times.
• Answer all incoming calls promptly, transfer to the appropriate extension, and take/distribute messages as required.
• Screen phone calls for Senior Managers and Doctors appropriately.
• Check phone messages regularly and distribute them promptly.
• Monitor the email inbox, forward messages to the correct staff member, and cc the Executive Officer.
• Perform end-of-day procedures including closing blinds, switching off air conditioning and computers, and locking the reception area.
• Provide reception relief or additional support when required.

MMEx Data Management & Quality Assurance
• Maintain and update client information in the MMEx medical system, including:
o Scanning client forms and filing them electronically.
o Updating patient contact details when necessary.
o Utilising system forms and updating occasions of service.
• Maintain electronic systems for tracking client participation, referrals, and evaluation forms.
• Participate in quality audits and support ongoing maintenance of the MMEx system.

Administrative Support
• Provide administrative support to the Office of the CEO, Executive Manager, ESO, HR, Finance Senior Officer.
• Assist with communications and liaison between Directors, stakeholders, staff, patents, and visitors.
• Support preparation for Board Meetings, Senior Managers Meetings, and All-Staff Meetings.
• Prepare employment contracts for new employees.
• Assist with creating and posting Job Ads Across multiple platforms.
• Support staff travel bookings.
• Assist with Payroll-related tasks as required.
• Complete daily rounds, record incoming/outgoing mail, and distribute accordingly.
• Order paper, stationery, and office supplies fortnightly or as needed, ensuring correct storage in the supply room.
• Organise catering and pick-up of food orders as required.

Social Media & Communications
• Manage YYMS social media accounts, including creating flyers, brochures, posters, and organisational announcements.
• Liaise with department Managers for approval prior to posting content on Facebook or other platforms.

General Duties
• Assist with other tasks as directed, within your level of skill, competence, training, and scope of practice.
• Contribute to a positive workplace culture and support teamwork across all departments.

Selection Criteria
Essential:
• Demonstrated reception and administrative skills, or a willingness to undertake training in this area.
• Ability to work unsupervised, manage time effectively, and priortise tasks.
• Strong communication, teamwork, and liaison skills, with the ability to work effectively with a diverse range of people.
• Empathy and commitment to the advancement of Aboriginal health, and the ability to work respectfully with Aboriginal people and communities.
• Proficiency in Microsoft Office software, including Word, Excel, Outlook, and Teams.
• Current C class Western Australian Driver’s Licence.
• Current National Police Clearance, or willingness to obtain one.
• Fully COVID-19 vaccinate, with evidence of vaccination status.

Desirable:
• Commitment to continuous quality improvement, including willingness to participate in audits, system enhancements, and process improvements.
• Local Aboriginal or Torres Strait Islander person with established connections to the region and community.
