Job Description
We are seeking a highly organized, experienced and detail-oriented Administrative Assistant (Behavioral Health Contractor) to support our behavioral health team with a strong focus on QMHP support, CMBHS data management, and contractor compliance. This role involves providing essential administrative support within a fast-paced healthcare environment, ensuring smooth office operations and excellent customer service. The ideal candidate will possess strong office management skills, proficiency in various computer applications, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus to assist diverse client needs. This is a contract position offering valuable experience in behavioral health administration.
Responsibilities
Manage front desk operations, including greeting visitors and clients with professionalism and courtesy
Answer multi-line phone systems promptly, directing calls appropriately and taking accurate messages
Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other relevant software
Schedule appointments and manage calendar bookings for clinicians and staff
Support office management tasks such as proofreading documents, maintaining supplies, and ensuring office cleanliness
Provide excellent customer service to clients, families, and external partners
Handle administrative correspondence with attention to detail and confidentiality
Support office manager and assistant duties as needed, including managing patient check-in/check-out processes
Key Duties:
Support QMHPs with scheduling, documentation tracking, and administrative needs
Enter, track, and monitor services, reassessments, and authorizations in CMBHS
Maintain accurate client records per HIPAA, HHSC, and MCO standards
Assist with audit preparation, record requests, and documentation reviews
Requirements
1+ year administrative experience in behavioral or mental health
Strong working knowledge of CMBHS
Familiarity with HHSC / MCO documentation and timeliness standards
Highly organized, detail-oriented, and able to meet strict deadlines
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask effectively in a busy environment
Strong phone etiquette and customer service skills; bilingual abilities are advantageous
Attention to detail for proofreading, data accuracy, and record keeping
Ability to manage calendars efficiently and prioritize tasks effectively
Previous experience in office or administrative roles such as personal assistant or receptionist preferred
Ability to work independently with minimal supervision while maintaining high standards of professionalism
