About the Role

Were looking for a detail-oriented and structured Contracts Administrator to support job setup, contract review, timesheets, subcontractor coordination, and high-volume admin workflows. You'll ensure documentation accuracy, system consistency, and smooth coordination between project and admin teams.

We have partnered with a leading Australian company specializing in a full range of fire services, including design, installation, commissioning, maintenance, and testing of fire protection systems. Established in 2008, They are committed to Australian Standards, offering innovative and flexible fire protection solutions. They provide 24/7 emergency assistance and are fully licensed to test, install, maintain, and certify a wide range of fire systems.

What you'll be working on:

Overseeing weekly timesheet tracking and payroll submissions
Setting up jobs and reviewing contracts, including key terms like retentions and liquidated damages
Managing variations and service dockets with accurate cost centre coding
Issuing and coordinating purchase/work orders aligned with job scope
Processing subcontractor invoices with proper approval and job allocation
Supporting project documentation and milestone tracking (e.g. DLP, Form 12s, O&Ms)
Handling general admin including job cards, pre-starts, leave forms, and schedule updates

What were looking for:

Effective communication skills (verbal and written) that will enable you to build a connection with non-Filipino clients and team members.
High attention to detail and strong organizational skills
Experience in handling high volumes of admin tasks accurately
Strong system navigation and document management skills
Proactive communicator with the ability to coordinate across departments
